At Pixelated People Limited (company number 11127409) we are committed to safeguarding your privacy whether you’re a candidate, client or a user of our website. Our aim is to offer a safe and secure experience, whilst ensuring that the information we collect or that you send to us via our website, email or through our offices is only used for the purposes set out in this policy.
Pixelated People may collect your personal details, including but not limited to your name and contact details (together with your e-mail address) and other relevant information from your CV. This is done either by your completion of the CV form on our website or via platforms whereby your data is publicly available such as Job Boards or Social Media.
Pixelated People will ensure that personal information collected is for specified, legitimate business purposes and only to the extent necessary to fulfil those purposes.
Pixelated People will only retain personal data for as long as it’s required to fulfil the purposes for which it was collected or to comply with applicable law, for tax purposes, or for Government or regulatory requirements.
This information is processed in a secure manner, is held, used and disclosed by us in accordance with applicable laws or in the performance of the provision of our service as a recruitment business (for example, after having discussed the role with you, this may include sending your data to a potential client), or as expressly advised by you.
As an example of reasons for processing your data, this will include things like:
to provide our professional services to you;
to continue our business relationship, where you are a user of our website, a client or candidate;
to enable you to submit your CV for general applications, to apply for specific jobs or to subscribe to our job alerts on either our website or via social media. Please see the separate section on your CV below which outlines additional uses and disclosures;
to notify you and match your details with our job vacancies;
to inform you of our services, the latest happenings at Pixelated People and relevant industry news. You will be able to unsubscribe from such communications at any time; to maintain contractual obligations with our clients, which may include third party partners who perform functions on our behalf and who also provide services to us, such as our financier Sonovate, who comply with similar undertakings of privacy and confidentiality as Pixelated People;
we may also be under duty to disclose personal data to regulatory or law enforcement agencies, if they require us to do so; and
our website may also collect information which can record mouse clicks, your IP address, page scrolling and general browsing behaviour. Data collected by this service is used to improve our website usability experience and your personalised usage. The information stored is used for aggregated and statistical reporting, and is not shared with anybody else, nor does it identify any individual. The purpose will enable Pixelated People to;
calculate our user base size and usage behaviours;
collect information about your preferences which will allow us to customise our site according to your individual needs;
determine what is most beneficial for our users and how we can continually improve our online services to create a better overall experience for you;
have quicker searches;
recognise you when you revisit our site.
There is a page on our site that will allow you to submit your CV. You can of course still submit your CV to us directly by email, which can be done either by applying for a specific job that you have seen advertised by us via social media or for the purposes of registering your details with us for future roles. Your CV will be stored in the Pixelated People database, and it will only be accessible by Pixelated People recruiters (who are under strict obligations of confidentiality). And since we are a UK company, your details will not be used outside of the EU without having made certain that sufficient safeguards are in place (for example, where a client has a head office in the United States, we will ensure that there are adequate safeguards in place that afford similar protections as if it were transferred to a company within the EU). You have the option to update your CV at any time, simply by following the same procedure to submit a new CV. Upon receipt and storage of your new CV, your old CV will be deleted.
How long we keep data is driven by our relationship with you. For example, from an accounting point of view, we will store financial data, payments records, invoice details, etc. for a period of up to 7 years unless, in the unlikely event, there are mitigating circumstances that allow us to keep data for longer. Also, for legitimate business reasons we will retain data for a reasonable period of time where we may need to contact you in the future or where we need to comply with a particular client obligation or piece of legislation.
The reasonable period of time is, broadly speaking dependant on your individual circumstances. For example, for Contractors (i.e. individuals that we primarily intend to place into engagements on a temporary basis) and Candidates (i.e. individuals that we primarily intend to place into permanent employment at a client), we would need to retain basic contact information together with a summary of your skills and experiences (which will most likely be in the form of your CV) for a period of 2 years after last contact.
In the situation where you are a Contractor and we have a contractual relationship for your services, we would ordinarily keep your contact details for the duration of the contract and such reasonable period after expiry. In cases, where there is greater sensitivity in the data supplied to us such as financial documentation, background details and right to work information, we will only hold such information for the duration of your contract and for a period of 2 years after expiry of your contract.
You have the right at any time to ask us for a copy of the information supplied by you that we have stored. We may ask you to verify your identity and for more information about your request in order to be able to better respond to the request. Where we are legally permitted to do so, we may refuse your request and will give you reasons for doing so.
If you would like to make a request for information, please contact email@example.com You also have the right to ask Pixelated People to stop using your information. However, if this involves a request for deletion of your file, please be aware that we may not be required or able to do so, particularly where your file also holds information about our clients or financial information that we need to keep for periods of up to six years, i.e. that relate to tax matters. Where we are unable to comply with your request we will provide reasons.
